Pricing

How Civitas Learning is priced.

No list price, and no runaround. The pricing model, what moves the number, what is included, and how to build the business case — before you talk to anyone.

The short answer

Civitas Learning is an annual platform subscription scaled to institution size. No token metering, no charge per AI agent, and no separate implementation invoice. There is no list price because the number depends on size, scope, and how many systems are integrated. Ask for a quote against your headcount and system list, and expect it in the first conversation, not the fourth.

What sets the number

Four things move the price. Nothing else does.

Want a rough figure before a call? These are the inputs we will ask for.

01

Institution size

Undergraduate headcount is the biggest factor. A 4,000-student community college and a 40,000-student research university are different subscriptions.

02

Scope

Which capabilities you use: analytics, workflows and outreach, student planning and scheduling, the career module. Many start with one use case and extend.

03

Systems

How many source systems are integrated, and whether any are unusual. Standard SIS, LMS, and CRM integrations are routine; a bespoke system adds scope.

04

Term

Multi-year is typical: measurement needs more than a term to build a comparison group, and models improve with history.

What you get

Included in the subscription

What vendors usually bill separately is in the number.

IntegrationBuilding and maintaining connections to your source systems, through their upgrades.
The data layerOne governed dataset with higher education definitions, kept current.
Institution-specific modelsBuilt on your history and retrained each term, at no charge per model.
AI agents and automationsAs many as your teams need. No token metering, no per-agent purchase.
Efficacy measurementComparison-group measurement of your initiatives, with the confidence intervals.
Strategic partnershipThe Customer Development team, in the subscription, not billed hourly.
Not included

Said plainly, so it does not surface late in a procurement.

Your existing systemsThe SIS and LMS are never replaced, so their fees are unchanged. A CRM or early alert tool you retire onto Civitas is your saving, not our line item.
Unusual integrationsA bespoke or unsupported source system can add integration scope.
Your peopleAdoption takes staff time. The platform reduces the work; it does not replace advisors and analysts.
The business case

Start with what one point of retention is worth.

Most institutions build the case from retained revenue — the number a board already understands.

1 pt
Headcount × 1% × net price. At 9,000 students and $11,500 net, one point is just over $1 million a year.
$4:$1
Average return reported across more than 220 partner initiatives measured against comparison groups.
40–60%
Share of student success initiatives that produce a measurable outcome. The rest is budget the measurement finds.
Frequently asked questions

Questions about pricing

Short answers, in the words a cabinet uses. For anything not here, ask us directly.

How much does Civitas Learning cost?

An annual platform subscription scaled to institution size. There is no list price, because the number depends on size, scope, and how many systems are integrated. Ask for a quote against your headcount and system list, and expect it in the first conversation.

Do you charge per agent or per AI token?

No. No token metering and no per-agent purchase. Build and use as many agents and automations as the work needs, at no extra charge.

Do you charge per student or per advisor seat?

No. The subscription scales with institution size, not individual logins, so adding an advisor or a department does not change the invoice. Ask us to confirm this in writing for your institution.

Is implementation a separate cost?

No. Integration, model build, and the Customer Development partnership are part of the subscription, not an hourly services engagement.

What is not included?

The systems Civitas reads from stay your cost. The SIS and LMS are never replaced, so their fees are unchanged. A CRM or early alert tool you retire onto Civitas is a saving for you, not a line on our invoice. Unusual source systems can add integration scope.

How should we build the business case?

Start with one point of retention: headcount times one percent times net price. Partners average $4 returned for every $1 invested across more than 220 measured initiatives. Run your own numbers →

What contract length do institutions sign?

Multi-year is typical: measurement needs more than a term to build a comparison group, and models improve with history. Confirm term and renewal in your own agreement.

Can we start with one use case?

Yes. Many start with advising and retention, then extend to enrollment, completion, and career outcomes on the same data and models.
